Hospo Connect Limited (NZCN: 6072372), is a New Zealand registered company.

This Privacy Policy sets out how we will collect, use, disclose and protect your Personal Information.

To the extent information is associated with an identified or identifiable natural person and is protected as “Personal Information” under applicable data protection law, it is referred to in this Privacy Policy as Personal Information.

Changes to this policy

We may change this Privacy Policy from time to time in the future by uploading a revised policy to our website and/or application. The change will apply from the date that we upload the revised policy.

Information we collect

We collect your personal information for lawful purposes connected to your use of the HospoConnect website and application (together, the Platform) and providing our services to you on the Platform, for purposes directly related to this or where you have agreed we can do so.

• Registration information: When you register an account on the Platform, you give us your name, email address, mobile phone number and job title.
• Communications: If you contact us directly, or participate in communications with us, we may receive additional information about you. For example, in communications with a member of our team, we may receive your name, email address, phone number, the contents of a message or attachments that you may send to us, and other information you choose to provide.
• Device and usage information: Through your use of the Platform, we may collect analytics information such as your IP address, web browser type, mobile operating system version, phone carrier and manufacturer, app installations and website activity.
• Other information: We may collect any other information that you voluntarily provide to us.
  

We collect this information from:

• You: when you provide that Personal Information to us, through your registration on, and use of, the Platform;
• Third parties: where you have authorised this, or where the information is publicly available; or
• Your use of the Platform: including IP addresses, location information, browser information, and any other action you might take while using our service. We use this information to improve our services.

How we use your Personal Information

We will not process your Personal Information, other than as outlined in this Privacy Policy, without having a lawful basis to do so.

We process Personal Information:

• to create a user profile for you on the Platform;
• to engage in communications from you relating to the Platform;
• to carry out our obligations under, and enforce compliance with, our Terms of Service (found at https://www.hospoconnect.co.nz/terms-of-service; and
• to comply with laws,

and such processing that is necessary for the performance of the contract between you and us.

We also process Personal Information:

• to comply with our obligations to our third-party service providers;
• to improve the Platform;
• to analyse usage of the Platform or carry out research and analysis so we can improve the Platform;
• to notify you of services, products, offers, events or other benefits offered by us or other users of the Platform that we think may be of interest to you;
• to protect and/or enforce our legal rights and interests, including defending any claim;
• to comply with our legal obligations, including any notification and reporting obligations and any access directions imposed on us by a Government agency or regulatory authority,

and such processing is necessary for the purposes of a legitimate interest pursued by us, and we have assessed that our interests are not overridden by the interests or fundamental rights and freedoms of the person to whom the Personal Information relates.

We may also use Personal Information collected for such other purposes that are compatible with the original purposes described above, or that you otherwise consented to from time to time.

We also process Personal Information to communicate with you (electronically or by phone) in relation to the Platform, from time to time, including to respond to your contact request and any related communication. You can unsubscribe from any communications from us by contacting us as directed in any such communications.

Disclosing your personal information

We may disclose your Personal Information to:

• service providers who provide necessary services to Hospo Connect and strategic partners who help us market Hospo Connect – such as digital marketing agencies;
• any business that supports the Platform, including hosting or maintaining any underlying IT system or data centre that we use to provide the Platform or product ordering/delivery services;
• a person who can require us to supply your Personal Information (e.g. a regulatory authority or enforcement agency); or
• any other person or entity authorised by you.

Third party services

We use third party services for providing the Platform, to ensure a better experience for users and for improving the Platform. In the process of doing so, the third party service provider may have access to Personal Information. However, these third parties do not have the right to use the Personal Information for their own purpose, and will not process your Personal Information other than as outlined in this Privacy Policy.

How long we keep your personal information

We will keep your personal information:

• until we no longer have a valid reason for keeping it;
• until you request us to stop using it;
• for as long as required by law e.g., to fulfil our tax obligations.

You should be aware that Hospo Connect may keep backups and logs before they are automatically deleted. When you delete your account, some information continues to be stored in backups for such a time until they are deleted.

Marketing communications

We may contact you using the email address and/or mobile phone number you provide to us to verify your user profile (as applicable), for administration purposes, such as account management, customer service or system maintenance, and regarding your use of the Platform.

You consent to us sending you information connected with the above collection and use purposes via email or text message when you provide us with your email address and/or mobile phone number. We may also send you updates or push notifications related to our services such as service updates or to identify promotions, if you give us your permission. We may send you other information we think you may be interested in and which may market and promote the Platform, or the products and services of other users of the Platform. The messages you receive from us will have instructions for how you can remove yourself from our mailing list.

You may unsubscribe to any email marketing message at any time by following the unsubscribe instructions contained in the message.

Protecting your Personal Information

We take the protection of your Personal Information seriously and we will take reasonable steps to keep your Personal Information safe from loss, unauthorised activity, or other misuse.

Your rights

You have the right to access your readily retrievable Personal Information that we hold about you, and to ask for it to be corrected if you think it is wrong, or to be deleted.

If you wish to exercise your rights under this Privacy Policy or any applicable data protection laws, you can do this by emailing our Privacy Officer at privacy@hospoconnect.com.  Your email should provide evidence of who you are and set out the details of your request (e.g. the Personal Information, or the correction, that you are requesting).

If you delete your user profile, the data we keep about you and your account will automatically be deleted (subject to our IT backups policy set out further above).

There may still be residual information such as errors logs, call or text logs, emails, calendar invites, data backups etc that record some Personal Information about you. If you also require this information to be deleted, please contact our Privacy Officer at privacy@hospoconnect.com.
